How ILSI collects, uses, stores and protects personal data, including data submitted through membership, casework and website forms.
ILSI takes the protection of personal data seriously, particularly because much of the information we hold relates to people in vulnerable situations — migrant workers navigating employment abroad, and their families. This policy explains what we collect, why, and what rights you have over your own data.
What data we collect
ILSI collects personal data through several channels on this website and in our corridor offices:
- Membership enrolment. Name, contact details, passport and contract information, and recruitment agent details, collected to provide pre-departure checks and ongoing casework support.
- Casework forms. Details you provide when reporting a problem through Get Help, including sensitive information about workplace disputes, injury, detention, or exploitation.
- Whistleblower and complaints forms. Reports submitted through our whistleblower channel or complaints process, which may be submitted anonymously.
- General enquiry forms. Contact details and message content submitted through our contact, government briefing, and employer consultation forms.
- Basic technical data. Standard server logs needed to operate the website securely.
Why we collect it
Data is collected only for the purpose stated at the point of collection: to verify a recruiter or contract, to open and manage a casework file, to respond to an enquiry, or to investigate a whistleblower report or complaint. We do not use member casework data for marketing purposes.
How long we keep it
Membership and casework records are retained for as long as needed to support the member's ongoing case and for a limited period afterward in case a related issue arises, after which they are deleted or anonymised. Whistleblower reports and complaint records are retained only as long as needed to complete and act on the investigation. General enquiry data is deleted once the enquiry is resolved unless a longer period is needed for a legitimate institutional reason, such as an ongoing partnership discussion.
Who we share data with
We share personal data with third parties only where necessary — for example, with a referred lawyer, an embassy, or a government agency handling your case — and only with your consent, except where your safety or the law requires disclosure without consent. Aggregate data shared with governments and researchers through our data services and data hub is anonymised and cannot be traced back to an individual.
Cookies and analytics
This website does not use third-party advertising or tracking cookies. Where basic, privacy-respecting analytics are used to understand overall site usage, they do not build an individual profile of visitors and do not require cookie consent under applicable law.
Your rights
Under applicable data protection law, including the UK GDPR, you have the right to ask what personal data ILSI holds about you, to have inaccurate data corrected, to ask for data to be deleted where there is no continuing lawful reason to keep it, and to object to certain uses of your data.
